
Terms and Conditions
The following definitions will apply to these terms and conditions:
“Thrive Retreats” or “Company” shall mean the trading company Transform Retreats Ltd.
Usage of the terms “We”, “Us”, “Our” are to refer to “the Company”
Usage of the terms “You” and “Your” or “Client(s)” is to refer to the person or people attending the retreat.
“Trainers” shall mean: Persons that hold relevant qualifications and are leading any exercise activity. Further details of qualifications can be provided upon written request;
“Host” shall mean: Person that oversees your retreat. The person who will be leading the retreat and will be a clients point of call throughout the duration of the retreat.
Payment
A booking will be secured when full payment is received by Thrive Retreats. If a deposit payment is made, the remaining balance must be paid 60 days before the starting date of the booking made.
Your booking will be confirmed by email. Further communication regarding your booking will be communicated to you via email, phone and text. By making a booking with Thrive Retreats, you consent to our team contacting you through the above channels.
If your chosen payment method fails, you are liable for any and all resulting fees. Thrive Retreats has the right to suspend or decline access to any services, activities and facilities associated with your retreat until any outstanding balances have been paid in full.
Travel Insurance
You understand and acknowledge that it is your responsibility as the client to organise suitable travel and health insurance. Thrive Retreats cannot be held liable if your failure to arrange suitable insurance coverage leaves you exposed, medically or financially. Depending on the policy and conditions, travel cancellation insurance may pay for some or all costs associated with cancelling of a booking. It is a condition of booking that you must take out and hold travel insurance for the duration of your retreat that covers medical and cancellation costs.
Cancellations
It is your responsibility to read before agreeing to our cancellation policy prior to making your booking with us.
Please refer to the cancellation terms below:
If you cancel a retreat 90 days or more before your Start Date, you will be refunded the full amount paid up to that date minus 5% transaction fees and excluding the per person deposit fee of that retreat which is non-refundable.
If you cancel between 60 - 90 days before your Start Date, you will be refunded 50% of any sums paid minus the 5% transaction fees and excluding the per person deposit fee of that retreat which is non-refundable.
Cancellations less than 60 days before the Start Date of your retreat are non-refundable and will result in a forfeit of the sums paid.
Late Arrivals/Early Departures:
No discounts or credit will be offered for a client choosing to arrive late or depart early from a retreat.
Cancellations Policy: Cancellations made by Us
If for any reason Thrive Retreats has to cancel or change the Start Date of any retreat, you, the client, are entitled to transfer the sums paid to another retreat with availability or request a credit note to use on a retreat or event for up to 2 years from the cancellation date. Alternatively, you may request a refund of payments made by you to the Company, which will be accommodated for insofar as is possible, taking into consideration any non-retrievable costs to which we committed in anticipation of your Retreat.
Thrive Retreats is not responsible for your expenses incurred in preparation for any cancelled retreats such as other accommodation, airline tickets, loss of work, and/or other costs associated with preparing for your trip.
Retreat venue, dates and locations are subject to change without prior notice. Thrive Retreats reserves the right to change the trainers for a retreat or event without notice.
Passports, Visas and Documents
It is the responsibility of the client to obtain a valid passport, visa(s) and necessary certificates for any country to be visited in connection with their retreat booking.
Flights and Transfers
Flights are not included in our retreat/event price and must be booked independently, following confirmation of your retreat. Please wait for a booking confirmation from us before proceeding to book your flights.
Thrive Retreats offers scheduled transfers as part of our retreat package. However, if a client is unable to make the scheduled transfer time, the client will need to pay for their own transport to the retreat. Thrive Retreats are happy to support guests with booking private transfers on their behalf but require a minimum of 72 hours notice to guarantee the reservation. Clients who book transfers independently will need to take full responsibility for their transfers.
Tourist City Tax
Some of our retreats are located in cities therefore guests may be required to pay a city tax at checkout. This fee is calculated per person per night of stay.
Room Damages
If you damage your room or any of the property within your room we will automatically deduct the cost of repairing / replacing / redecorating from your registered card.
Comments and Complaints
If you feel unwell or are not happy with the retreat for any reason, please tell your host immediately and we will take whatever action is required. Please note, any claims may be rejected if we were not informed or given the opportunity to put matters right during your stay.
Room Share
If you have booked a shared accommodation, please note Thrive Retreats cannot be held responsible for the actions of the person(s) with whom you room share with.
Additional Guests on Bookings
All retreats have a maximum capacity we can accommodate. If we have not reached capacity, we are happy to add additional guest to your booking, however once we have reached the maximum number of guests, we unfortunately are not able to add any further guests to your booking.
General Waiver
You acknowledge that during any retreat with Thrive Retreats, you participate voluntarily in any and all activities arranged, and insofar as is legally permissible, you surrender your right to any cause of action against Thrive Retreats from any loss or damage to any person or property that occurs during the retreat up to and including death.
If you are currently pregnant, have an injury or are under medical or psychiatric supervision, you must provide a Doctor’s certificate and share this with Thrive Retreats, confirming you are fit to take part in the retreat.
Please note, our team of trainers are not qualified to diagnose any medical conditions.
Allergies and medication use must be shared on your booking notes so we can cater for your needs accordingly.
All retreat guests must be 18 years or older to participate.
All guest must be able to independently take care of themselves as we do not have the resources or expertise to support guests who are unable to do this, appropriately.
Thrive Retreats will not accept liability for:
Changes in the retreat itinerary due to weather conditions, travel restrictions or unforeseeable circumstances with our staff during the time of the retreat.
Loss, injury, or damage (to you) or your personal property.
Physical, medical or psychiatric conditions developing during or after your retreat.
Use of Photo/Media Content
You hereby grant to Thrive Retreats unrestricted permissions to take photos and video footage during the retreat in which you feature. You consent to photos and videos in which you feature that are taken during the retreat to be used/republished/copyrighted, etc. for commercial use in association with Thrive Retreats.
By booking a retreat with us, you agree to be bound by and adhere to all terms and conditions listed.
